Hardware guide

Recommended POS hardware for QuPOS

QuPOS works with ordinary hardware: a Windows PC, any keyboard-mode barcode scanner and any printer with a Windows driver. Here is what each device does, what to look for when you buy, and suggested setups for each type of shop.

Suggested setups by shop

Start with what you need on day one; you can add a label printer or a scale later without changing anything in QuPOS.

Small shop, one counter

General stores, stationery, hardware, footwear, gift and medical-accessory shops

  • Billing PC or laptop
  • Barcode scanner
  • Thermal bill printer
  • UPS and backup drive

Add a label printer if many of your items have no maker barcode.

Barcode Billing software

Supermarket or kirana

Grocery, kirana and departmental stores, one or more counters

  • Billing PC or laptop
  • Barcode scanner
  • Thermal bill printer
  • Label-printing weighing scale
  • Cash drawer
  • UPS and backup drive

For two or more counters, every counter gets a PC, scanner and printer, and one PC (on a UPS) holds the shared SQL Server database.

Textile and garment shop

Sarees, readymade garments, fabric by the metre, footwear

  • Billing PC or laptop
  • Barcode scanner
  • Thermal bill printer
  • Barcode label printer
  • UPS and backup drive

A label printer matters most here: every size and colour of a style gets its own barcode label.

Textile software

Mobile shop

Phones, accessories and service counters

  • Billing PC or laptop
  • Barcode scanner
  • Thermal bill printer
  • UPS and backup drive

Choose a 2D scanner so IMEI barcodes on phone boxes read in one go. A 2-inch printer is enough for accessory-only counters.

Device by device

Required

Billing PC or laptop

Any Windows 10 or Windows 11 64-bit PC with 4 GB RAM and 300 MB free disk space runs QuPOS. An all-in-one PC or a small desktop saves counter space.

Look for

  • Windows 10 or 11, 64-bit
  • 4 GB RAM or more (8 GB if the same PC also holds SQL Server for other counters)
  • An SSD makes start-up and reports noticeably faster
  • Enough USB ports for the scanner, printer and label printer

Avoid

  • Windows 7 or 8 PCs: QuPOS needs Windows 10 or 11
  • Windows tablets with ARM processors
Recommended

Barcode scanner

QuPOS reads barcodes as typed keystrokes followed by Enter, the factory setting of almost every retail scanner. Plug it in and scan; there is nothing to install.

Look for

  • USB or Bluetooth, keyboard (HID) mode
  • Sends Enter after each scan (test in Notepad)
  • A 2D scanner if you sell phones (reads tightly packed IMEI labels) or want to scan from a screen
  • A hands-free stand for busy supermarket counters

Avoid

  • Scanners that need their own software to send data
  • Leaving "continuous scan" switched on at the counter (causes double scans)

Recommended

Thermal bill printer

QuPOS prints bills through the Windows printer driver, so any 2-inch (58 mm) or 3-inch (80 mm) thermal receipt printer with a Windows driver works. Bills print silently, without a print dialog.

Look for

  • A Windows driver from the manufacturer (print a Windows test page before buying more)
  • 3-inch (80 mm) for most shops; 2-inch (58 mm) for small counters
  • An auto-cutter on busy counters
  • USB connection is simplest; LAN if one printer serves two counters

Avoid

  • Printers sold only for Android or Bluetooth phone apps with no Windows driver

Optional

A4 printer

For full tax invoices to business customers, and for A4 barcode label sheets. Any home or office A4 printer (laser or inkjet) works.

Look for

  • A laser printer for sharp barcodes on A4 label sheets
  • Duplex is not needed

For items without a barcode

Barcode label printer

Prints price and barcode labels for loose, unbranded or textile items. Any label printer with a Windows driver works with label rolls of 50×25 mm, 38×25 mm, or 2-up and 3-up rolls.

Look for

  • A Windows driver where you can set the exact label size and gap
  • Thermal transfer (with ribbon) for labels that must last; direct thermal for short-lived price labels
  • 203 dpi is enough for 50×25 mm labels; 300 dpi helps on small 38×25 mm labels

Avoid

  • Buying label stock before checking the size your printer and QuPOS both support

Supermarket, optional

Label-printing weighing scale

For rice, sugar, dal, vegetables and sweets. The scale weighs the item and prints a barcode with the item code and weight; the cashier scans it and QuPOS Supermarket adds the item and weight together.

Look for

  • Prints EAN-13 barcodes with a "2x" prefix, item code and weight (PLU programming)
  • Item codes you can set to match QuPOS

Avoid

  • Scales that only show a weight and print no barcode: QuPOS does not read a scale over a cable

Optional

Cash drawer

A cash drawer usually plugs into the thermal printer (RJ11/RJ12 "DK" port), not the PC. Most printer drivers have a setting to open the drawer when a bill prints.

Look for

  • An RJ11/RJ12 cable that matches your printer's drawer port
  • The "open cash drawer" option in your printer driver
Strongly recommended

UPS and backup drive

A power cut in the middle of a save is the most common cause of data trouble. A small UPS keeps the PC (and the SQL Server PC for several counters) running long enough to finish. A USB drive or cloud-synced folder holds the automatic daily backup.

Look for

  • A 600 VA or larger UPS for the billing PC
  • A USB pen drive or a cloud-synced folder (Google Drive, OneDrive) for daily backups

Qubha does not sell hardware and has no tie-up with any brand. Before buying, check that the device has a Windows 10/11 driver; that is all QuPOS needs. Test your printer and scanner during the 30-day free trial.

Hardware questions

Do I need special POS hardware for QuPOS?

No. QuPOS runs on an ordinary Windows 10 or 11 PC, reads any keyboard-mode barcode scanner, and prints through Windows to any printer that has a Windows driver. Use the printer and scanner you already have if they work in Windows.

Which thermal printer works with QuPOS?

Any 2-inch (58 mm) or 3-inch (80 mm) thermal receipt printer with a Windows driver. Install the driver, print a Windows test page, then select the printer in QuPOS under Settings → Printing for silent printing.

Does QuPOS work with a weighing scale?

Yes, with label-printing scales. The scale prints a barcode with the item code and weight, and the Supermarket business type reads it in one scan. QuPOS does not read the weight from a scale over a cable.

Do you sell the hardware?

No. Qubha supplies the software only, so you can buy hardware from any local dealer or online. Message us on WhatsApp before you buy and we will tell you what to look for.
